Talent Acquisition Bulk Action

Suggested Contacts: Act on Your Shortlist in Bulk, Without Leaving the Page

You can now select multiple contacts in Suggested contacts and act on all of them at once, instead of opening each one in turn or switching back to the classic version

What's new

  • Add to pool. Select any number of contacts from your results and add them to a pool in a single action. It's the fastest way to hold onto strong matches for later, without committing them to this vacancy.
  • Send a message. Select a group of contacts and send them all the same message from the existing bulk message composer, including the invite-to-apply link, so you can open a role to a shortlist without writing to each person individually.
  • Add to campaign. Select a group of contacts and add them all to a campaign in one action.

Your selection shows a running count and states a cap, so you know exactly what you're about to action. A confirmation reports how many contacts were actioned and how many failed.

Why it matters

You no longer need to switch to classic Suggested contacts or click View in People grid to add a batch of matches to a pool, message a shortlist, or add contacts to a campaign, you can finish the job staying in suggested contacts or applicant review.

What's coming next?

Add to pool, Send a message and Add to campaign are the first three. Over the following month we're bringing the rest of the bulk action set to Suggested contacts too, including update vacancy stage, assign to user, share for review, edit status, add global tag, remove from vacancy, edit source, edit location and archive.

Good to know

  • Existing permissions apply. If you can't perform an action on one contact, you can't perform it in bulk.
  • Send a message is capped at 100 contacts per send. Add to pool and Add to campaign follow your account's bulk action limit.
  • Large selections process in the background with a progress indicator and a result summary. You're not blocked while it runs.

Availability: All customers with Talent Match. No setup required.

Talent Acquisition Applicant Review

Applicant Review: the Same Filtering and Ranking You Use in Suggested Contacts, Now in Your Vacancy

Reviewing applicants now works the same way as finding new contacts in new Suggested contacts released in June. Open a vacancy, land on your applicants, then filter and rank them with the same tools. One click for Workday users to open the profile and progress or reject candidates.

Why it matters

Recruiters managing large volumes of applicants can quickly reduce large applicant volume to a smaller more manageable list with must have requirements such as years of experience and skills. This brings the filtering and ranking recruiters rely on in Suggested contacts into the vacancy itself, so triaging a large applicant can be done quicker than in the ATS.

Good to know

  • Filters are never applied automatically, you choose and apply them each time.
  • Vacancies specifically evergreen reqs with a large volume of applicants are now sorted by match score - which was unavailable with the previous version of applicant review.
  • If your account hides the match score today, it stays hidden here.
  • You can switch back to the previous applicant view at any time.

Candidate Experience Emails and Bulk Messaging

Send emails: Variables in the Subject, a Test Send, and Follow-ups that Respond to Interest

The modal you use to email contacts and build bulk message sequences has been rebuilt. Everything you rely on is still there (templates, custom variables, & meeting schedule links), now in a two-pane layout with your touchpoints on the left and the message editor on the right. Subject lines now take variables, follow-ups have seven trigger conditions instead of two, and you can send yourself a test before anything goes out.

Why it matters

Recruiters building multi-touch bulk message sequences can now branch on interest, not just silence. A contact who opens but doesn't reply can get a different message from one who ignores the email, and a reply can trigger a scheduling link automatically. Sending a test means you see how your variables resolve before a real candidate does, so a broken merge field gets caught in the modal instead of in someone's inbox.

Good to know

  • Variables now work in the subject line, not just the message body.
  • The first message has a third timing option, send after a delay, alongside immediately and on a specific date.
  • Campaigns take their name from the subject line of the initial message instead of "Bulk message - {Date - Time}". Campaigns created before the change keep their original names.
  • The signature is a toggle in the footer, and you can save what you've written as a template without leaving the modal.
  • The line break bug in the old editor is fixed. What you see in the editor is what the recipient receives.
  • Templates, in-flight campaigns and already-scheduled touchpoints are unaffected.
  • The old email send modal is replaced completely with the updated version.

Availability: All customers. Update to the SMS touchpoints follow in a later release for organizations with SMS campaigns enabled.
