Archive vs Delete vs Anonymize

Contacts that you wish to remove from your main database have 3 possible states they can be Archived, Deleted or Anonymize. This table will help you know when to use each tool to best achieve your database management goals. 

Removal Type Primary Use Case Outcome
Archive Contact profiles where you wish to save the complete profile information and history but for contacts who are not candidates for future hiring (e.g., "do not hire" status). Retains all historical data but excludes the profile from being added to Pools and appearing in general searches.
Delete Contacts have not provided consent for data retention for a specified period. Ensures compliance with data retention and consent policies.
Delete Profiles with low data quality or incomplete, unreliable information. Maintains the integrity and quality of the system's data.
Delete General cleanup of contact profiles  Simplifies the re-entry process if the individual is brought back into the system later.
Anonymize Explicit requests from individuals to be removed from the system and have no further profile creation. Prevents future profile creation, even if the person applies again, is created manually or brought in via an integration. Read more here.
