How to Provision a Virtual Phone Number for SMS

To send SMS messages using Beamery, users must have a virtual phone number provisioned for them by a Beamery Admin on their team. Once provisioned, users can send direct SMS messages to contacts, right from the Beamery profile. 

Users with the Super Admin role can follow these instructions to provision Virtual Phone Numbers for users on their teams. Note that users with limited or restricted roles cannot be provisioned with virtual phone numbers.

How to Provision a Virtual Phone Number

The following steps will teach you how to provision a virtual phone number for users in Beamery so they can send SMS messages to candidates:

  1. Begin by navigating to Settings in Beamery by clicking your name in the top right-hand corner of the screen and choosing Settings (1), and then select SMS Users (2) from the Company Settings area of the menu on the left.
  2. On this screen, you will see a list of all of the users in Beamery who can be provisioned with a virtual phone number. From this list, locate the user for whom you would like to provision a virtual phone number.
  3. In the Virtual phone number column for the user, click Assign number (3).

  4. Then, in the modal that appears, select the country you wish this phone number to be from (4). For more information on the countries supported for virtual phone numbers in Beamery, check out this article.

  5. If you have selected the United States or Canada from this list, you will next need to type in a 3-digit area code (5). If you have selected any other country from the list, you will not need to do this.

  6. Finally, click the Assign phone number (6) button.

  7. If there is not a phone number available in the country or area code that you selected, you may see the following error message. If this is the case, try selecting a different area code or country.

  8. Once you have successfully assigned a virtual phone number to the user, you will be returned to the SMS Users list, and will see that the user has a virtual phone number assigned to them in this view. This user will now be able to send SMS messages to contacts from the Beamery profile. 

 


How to Remove a Virtual Phone Number

The following steps will teach you how to remove a virtual phone number from users in Beamery:

  1. Begin by navigating to Settings in Beamery by clicking your name in the top right-hand corner of the screen and choosing Settings (1), and then select SMS Users (2) from the Company Settings area of the menu on the left.

  3. On this screen, you will see a list of all of your users in Beamery. In this list, locate the user for whom you would like to remove a virtual phone number, by typing their name or email in the search bar at the top of the list (3).

  4. In the Virtual phone number column for the user, you will see a trashcan icon next to their virtual phone number. Click on this icon.
  5.  In the modal that appears, check that you understand the consequences of removing a phone number in Beamery, and how this may impact your team’s workflows. If you are happy to continue with removing the virtual phone number, click Delete. If you would like to cancel the removal and keep the virtual phone number, click Cancel.

  6. After confirming, you will be returned to the SMS Users list and the user will no longer have a virtual phone number assigned to them in this view. If you would like to assign a new number to this user, you can follow these steps.
