Compare Roles with Work Architecture

Last Updated:

What this covers

This article covers how to compare roles side by side in Work Architecture, and how to add, edit, and remove skills across those roles, including bulk selection and bulk editing options. It is for Work Architecture admins and Suggester-permission users who are validating or building out a role architecture.

Why it matters

A Work Architecture project can mean comparing and validating thousands of roles. Bulk selection and bulk editing let you act on many roles in one pass, so validating a large role set takes far fewer steps than validating each role individually.

This matters most if you’re still completing your initial Work Architecture implementation, or if you regularly validate new roles as part of ongoing, business-as-usual architecture work.

Who can access

Role comparison, including the new bulk actions, is available to Work Architecture customers. Within the viewer, admin users can make bulk action changes, users with Suggester permissions can propose changes one at a time and read-only users can view the comparison but cannot edit it.

How to use

Compare roles side by side

Use this when you want to line up multiple roles to check consistency or spot gaps.

Within the Role Comparison viewer

  1. Go to “Compare Roles” in the left navigation of Work Architecture.
  2. Select the roles you want to compare from the role selection tree. You can now select several roles at once, instead of searching for and adding them individually.

  3. The viewer displays every role you selected, side by side.

From a specific role

  1. Open the role in Work Architecture.
  2. Click “Compare Roles” in the top right.
  3. Use the search box to add a second role.
  4. Add further roles as needed.

To swap out a role, click the “X” next to it and select a replacement.

Edit skills across multiple roles at once

Use this when you’re validating or updating skills across a role family, rather than working through one role at a time.

  1. In the Role Comparison viewer, select the roles you want to update.

  2. To add a skill: select the roles that need it, then add the skill once. It’s applied to every role you selected.

  3. To edit a skill: update priority or proficiency inline. The change applies across every selected role that has that skill.
  4. To remove a skill: select the roles it should come off, then remove it once.

Every skill change, whether made to one role or many, is recorded in the role’s History Log.

Next steps

Bulk actions are live now for Work Architecture customers. If you’re partway through validating a role architecture, this is the moment to revisit any roles you were editing one at a time and finish them in bulk instead.

See Work Architecture Skills Management for more on how skills are structured across roles, and Work Architecture User Roles for a breakdown of what each permission level can do.
