LinkedIn CRM Connect syncs your data between Beamery and LinkedIn to help you simplify your hiring workflow, save time building talent pipelines, and nurture candidate relationships with up-to-date candidate data from LinkedIn.

Here are answers to some common questions surrounding CRM Connect.

Activation

Is the integration with LinkedIn easy to switch on and able to be switched off if needed?

A LinkedIn Admin can easily enable the CRM Connect integration. You can read more in our step-by-step setup guide here. The amount of time the initial sync from your Beamery database to LinkedIn takes will be entirely dependent on the size of your Beamery database. Turning off the integration requires raising a support ticket in Beamery. Please be aware that once the integration is disconnected, in order to reconnect, you will need to perform the initial sync again.

How is the data in Beamery refreshed? Manually or automatically?
The LinkedIn Profile Widget within Beamery is a live preview of the candidate’s LinkedIn profile. To refresh the candidate profile in Beamery with data from LinkedIn, the user will have to manually export the profile from LinkedIn to Beamery via One Click Export.

Is data flow Push / Pull? What triggers the sync?
The CRM Connect integration is a bi-directional sync between the two systems. Data from Beamery is pushed into LinkedIn and data from LinkedIn is pulled into Beamery. The data push from Beamery to LinkedIn is done when CRM Connect is turned on in your Beamery environment. The one-click export pulls LinkedIn data into Beamery when a User clicks the “Export to CRM” button shown below.

How can a Beamery user see LinkedIn profile data in Beamery?
Beamery Users are able to see the most up-to-date version of a person’s LinkedIn profile within Beamery. Depending on the individual’s LinkedIn profile settings/permissions, Beamery Users can export the LinkedIn profile data into Beamery. LinkedIn profiles with profile settings/permissions set to prohibit profile exports will have the Export to CRM button disabled.

Will my organization require an extra Data Processing Agreement (DPA) signed with LinkedIn?

  • No, the LinkedIn to Beamery integration is more similar to an Applicant Tracking System (ATS) to Beamery relationship than it is a Beamery subprocessor relationship. LinkedIn (like an ATS) does not function as a Beamery’s subprocessor. CRM Connect is an integration between two different systems, neither of which process data on behalf of the other.
  • Beamery remains a processor in this relationship, Customer remains a controller for all data in their Beamery instance.
  • Customer and LinkedIn’s relationship (depending on the Customer’s use of LinkedIn Recruiter) remains subject to those terms.
  • Members of LinkedIn sign up to their own terms and data processing agreement with LinkedIn directly, which governs the transfer of their data to third parties, like via the CRM Connect integration with Beamery.

Will we need to adjust consent messaging to Contacts when they are added from LinkedIn?
No, when candidates are added via CRM Connect, LI Members manage their preferences via their privacy settings and LI will not export candidates if LI members toggle off this setting.

Which terms would cover the sharing of data by LinkedIn to Beamery?

The sharing of data from LinkedIn to Beamery (or other systems) is managed by LinkedIn’s member T&Cs - LinkedIn members manage their preferences to data sharing in their LinkedIn user settings. The process is documented by LinkedIn here.

How is data from a Beamery Contact profile displayed in the LinkedIn profile?

See image below:

Also the contact’s email and phone number are displayed when the user hovers over the “in Beamery” indicator on the profile.

What data fields are pulled from LinkedIn to Beamery?

Please see a full list of data fields that are pulled from LinkedIn to Beamery here. If the candidate has agreed to share their phone number and email address with the User (through LinkedIn’s InMail mechanism), the Contact’s phone number and email are also pulled.

Can we choose and decide which data fields we want to push from Beamery to LinkedIn?

No, this is not customizable.

Why would LinkedIn need more than the LinkedIn profile URL to match a Beamery Contact with a LinkedIn user?

The LinkedIn profile URL is an optional field within Beamery, so the Beamery Contact profile may not already have the LinkedIn profile URL. For example, in the case of a referral, a Contact may be added to Beamery manually without a LinkedIn profile URL. In such cases, LinkedIn needs more details in order to accurately match the profiles.

If a Contact does not want their Beamery profile updated using their LinkedIn profile, how can that be managed?

LinkedIn members manage their preferences for data sharing in their LinkedIn user settings. The process is documented by LinkedIn here. If a LinkedIn user has opted out of the data sharing with third parties, any one-click exports will be blocked by LinkedIn - i.e. the button to “export” will be greyed out.

In the situation where a Contact exists in Beamery, but does not exist in LinkedIn, does the Contact need to agree to have their data shared with “third parties” or LinkedIn?

This is the responsibility of the Customer to disclose that they use a number of Processors to process candidate data as part of the recruitment process, for example, within their Candidate Privacy Statement and/or their Processor lists. This is no different to the situation of using an ATS (Workday, SuccessFactors) to process your Candidate data or interviewing software. 

Once data is populated in LinkedIn from Beamery, what LinkedIn users have access to this data?

All of Expedia’s LinkedIn Recruiter users will be able to view the Beamery Contact data while in LinkedIn Recruiter.

Additional Systems

Will the Extension work alongside LinkedIn CRM Connect?
LinkedIn Recruiter users should leverage LinkedIn CRM Connect to source candidates into Beamery. 
For customers that do not have LinkedIn Recruiter, the Extension can be used on LinkedIn.com to identify whether a LinkedIn member is already within Beamery and create a contact by downloading their PDF profile up to the limit of 200 profiles / user/month. See here.

Do the recent changes to the Extension’s experience on LinkedIn apply to other platforms?
The Extension’s experience remains the same on all other platforms other than LinkedIn.

Confidential Contacts

How does CRM Connect manage a Contact profile that is marked as confidential in Beamery?
Contact profiles marked as confidential in Beamery will not be synced with LinkedIn. This means that a user will be able to discover the LinkedIn profile of a confidential Beamery Contact but it would not be shown as an existing Beamery Contact. If a User attempts to export that LinkedIn profile to Beamery, they will receive an error and the export will fail.

If Contact profiles marked as confidential in Beamery are not synced with LinkedIn, will teams who have access to the confidential Vacancies and Contact profiles in Beamery still be able to leverage the public profile creation and updates?
Yes, Beamery Users with the applicable access permissions will be able to leverage LinkedIn.com and download PDF profiles via the extension to to update confidential Contact profiles and Vacancies, up to the limit of 200 profiles/user/month.

Will executive recruiters be able to tell if a confidential Contact is already in Beamery while viewing their profile in LinkedIn?
No. Confidential Beamery Contacts are not synced with LinkedIn. So, while looking at the applicable profile in LinkedIn, users will not see the "in CRM" indicator.

Will Beamery users be able to retrieve InMails for confidential contacts?
No. In order to retrieve InMails on a profile, data needs to be synced between the two systems. Since Beamery does not sync confidential contact data with LinkedIn, InMails exchanged between confidential candidates and Beamery users will not be retrieved and displayed in Beamery.

LinkedIn Users without a Beamery License

Can non-Beamery licensed Users see Beamery information within LinkedIn if they have a LinkedIn Recruiter license?
Yes, however, Contacts exported by non-Beamery licensed users will be assigned to a default integration user in Beamery.

Basic Functionality

Are there limits to the number of LinkedIn profiles users can export per month?
Yes, LinkedIn limits the number of profile exports to 300 per month per Recruiter license. For LinkedIn users without a Recruiter license, the number of PDF downloads is limited to 200 per month.

What actions count against a user’s monthly limit?
Exports of new Contact profiles from LinkedIn into Beamery and updates to existing Beamery Contact profiles using LinkedIn both count against a user’s monthly limit.

Are Beamery Users able to update Pools and Vacancies on the contact from the Extension?
Yes, Users are able to update Pools and Vacancies from within the Extension.

When downloading a PDF of a LinkedIn profile, will the PDF automatically show up as an attachment in the Beamery platform?
Yes, the PDF of a LinkedIn profile will be automatically attached to a Beamery Contact profile when a User downloads it.

Will replies to InMails be tracked in Beamery on the history log?
Both inbound and outbound InMails will be synced. (Not available during Labs)

Will Beamery sync the content of the emails exchanged between candidates and Beamery users.

No. Beamery will not sync the content of the emails to LinkedIn, only the "interaction" that indicates an exchange happened between a candidate and a user. The content of the email from Beamery will not be synced to LinkedIn.

If there are duplicate Beamery Contact profiles will the data sync properly – how would this be managed and work on both sides of the platform?

LinkedIn CRM Connect would attempt to sync both of them. It is likely that both Beamery Contact profiles will be matched to the same LinkedIn profile. In this case, both Beamery Contact profiles would be connected to a LinkedIn profile, and LinkedIn would display data from both Beamery Contact profiles
